Booking direct vs an OTA: what the published cancellation and change terms actually say
No chain and no booking site publishes a brand-wide cancellation window - the rate plan does, and their own terms say so. What direct booking really buys is a 24-hour repricing clock that dies if you change the reservation.

The verdict
- Neither a hotel chain nor an online travel agency publishes a brand-wide cancellation window — the rate plan does, and every contract we read says so in writing. So compare the cancellation term next to the price, not after it: pull your dates and the cancellation terms together before you judge any number.
- Booking direct buys you a 24-hour repricing clock that an agency booking cannot give you. IHG, Hilton and Choice all publish best-rate guarantees that require a direct booking and a claim filed within 24 hours — and all three void the claim if you later change the reservation.
- The real difference is who you have to ask and what your rewards do when the booking moves. An agency change is re-priced at the fare on the day you ask. A reward night cancelled inside a penalty window can cost you the points as well as the room.
The chains say it themselves: there is no brand-wide window

Start with the clearest sentence any chain publishes on this. Drury Hotels' own FAQ, read on 22 September 2026, answers "What if I have to cancel my stay?" with: "Our cancellation policy varies by the reservation, rate, hotel and dates, so please refer to your confirmation email for details." The same page adds that "Advance Purchase reservations are non-refundable and cannot be modified or cancelled."
That is the honest shape of the category. A page telling you "Marriott is 48 hours" or "IHG is 24 hours" is describing one rate at one property, not a rule.
The exception proves it. Motel 6 is one of the few chains publishing a default on a brand-wide policy page, read September 2026: a card-guaranteed reservation "will be held all night for your arrival", an unguaranteed one only "until 6:00 PM (at most locations)", and to cancel without penalty "you must notify the Motel 6/ Studio 6 reserved by 6:00 p.m. (4:00 p.m. at some locations) on the arrival date and receive a cancellation number." Miss it and "your credit card will be charged for the first night." Even here, the page adds that times vary by location and holiday.
What the agency contract adds on top
The two big agency contracts are no different at the root, and are direct about it.
Hotels.com's Terms of Service state: "You do not have an automatic right to cancel or change a booking unless allowed by the relevant Travel Provider under their Rules and Restrictions", and add that "some properties do not permit cancellations of, or changes to, bookings after they are made." Trip.com's terms, updated on 25 August 2026, put it as "you may have selected a cheaper room that cannot be changed or refunded."
What changes is the escalation path. With a direct booking the hotel and the chain own the reservation; with an agency booking the request routes through the platform, and Hotels.com states that cancellations and changes "to a booking can be made via our Help Center."
One agency publishes a commitment on top of the hotel's rule. Trip.com's Customer Service Guarantee states that "Trip.com does not earn profits from or add additional charges to change and cancellation fees" and that it will try to negotiate the penalty down. Its Flight-Hotel Cancellation Guarantee goes further: if an involuntary flight change stops you reaching the hotel on your check-in date, "you may cancel your hotel booking free of charge by submitting a request before or on the check-in date." The rest is in our full Trip.com review for US bookers.
A change is not an edit — it is a re-price
This is the clause almost nobody reads, and it costs real money.
Hotels.com's terms state that a change is priced at "the applicable price at the time you ask us to make the change," followed by an unusually candid warning: "Prices tend to increase the closer to the departure date that the change is made."
Moving a date is therefore not free even on a "free cancellation" rate — you are buying a new night at today's price. If your dates are uncertain, book two cancellable nights and drop one rather than booking one and moving it.
The tell nobody mentions: the chains price the cancellation term
Here is the strongest evidence that cancellation terms are part of the price rather than a footnote — the chains' own best-rate guarantees refuse to compare two rates unless the cancellation terms match.
- IHG verifies a claim by comparing its rate to the outside rate "for the same hotel, room type, stay dates, number of guests, and cancellation policy."
- Hilton lists the disqualifiers explicitly, including "2-day cancellation vs. 4-day cancellation" and "Free cancellation vs. non-cancellable or change fees apply" — terms applying to claims submitted on or after August 20, 2026.
- Choice Hotels requires the competing rate to match on terms including "advance purchase rates and requirements, pre-payment and deposit requirements, and cancellation and change policies."
If three chains will not treat a cheaper non-refundable rate as comparable to a refundable one, a traveller should not either — the discipline behind our comparison of the big booking sites for international stays.
The 24-hour clock only exists if you booked direct
The guarantees are also the clearest paid advantage of booking direct, and all three are gated on a direct reservation. Terms as of September 2026.
IHG: book through an IHG direct channel and if "within 24 hours of making your reservation you find a lower rate online" that qualifies, "we'll match the lower rate and give you 5X the IHG® Rewards Club points, up to a 40,000-point maximum." The claim must also land at least 24 hours before standard check-in.
Hilton: book direct and submit within 24 hours, and Hilton says "we'll match the lower qualifying rate and give you an additional 25% off the room rate for your stay."
Choice: submit the claim form "within 24 hours of your booking; your booking must also be at least 48 hours prior to a 6am arrival on the first day booked", and a US or Canadian resident with a valid claim gets the matched rate plus a $50 Reward Card after the stay.
Now read the catch, because it is the same catch three times: touching the reservation kills the benefit. IHG voids a claim on "modification or cancellation of a reservation once a claim for that reservation has been deemed valid." Hilton states that if you change the booking, "the hotel may re-evaluate and cancel the approved price match." A matched rate is a frozen rate.
This is the sourced version of the argument in booking IHG direct versus through an OTA, paired with the elite-benefit side in the late-checkout chain shortlist.
Your rewards have their own cancellation policy
Cancel a points booking and a second rulebook applies.
- Choice Privileges: cancel in line with the hotel policy on your confirmation and "all points used for the reward night will be re-deposited into your Choice Privileges account after seventy-two (72) hours." Miss the deadline and the account is not credited at all.
- IHG One Rewards: reward nights require a credit card to guarantee the booking and can be cancelled through IHG channels, but the hotel's rate rules still set the deadline. Topping up to reach an award night? See today's IHG One Rewards points price, run the break-even in our points calculator, and read how topping up for an award night actually works first — purchased points never earn elite status.
- Hotels.com Rewards stamps: a reward night comes back only if the equivalent cash booking would have been fully refundable — "If you cancel a Reward Night for which, had you paid for the night and canceled it you would have been entitled to a full refund, we will return the Reward Night to your account." A partial-refund rate does not return it.
- One Key: where a refund lands "due to a cancellation within a penalty window, any OneKeyCash used will be forfeited."
We put numbers on the agency rebate side of this in our Hotels.com versus Trip.com head-to-head and in the Hotels.com versus Priceline weekend comparison.
What to do, in order
- Read the rate's cancellation line before the price. It is the field the chains themselves use to decide whether two rates are comparable.
- If you book direct, set a 24-hour reminder. That is the window all three guarantees run on, and it starts at booking, not check-in.
- Never change a booking you have claimed on, and assume a date change is a new purchase priced on the day you ask.
- Check what your points do before you cancel — the redeposit rule is separate from the refund rule.
FAQ
Can I cancel a hotel booking made through a third party site?
Usually yes, but only on the terms of the rate you booked, and you have to ask the agency rather than the hotel. Both major agency contracts state that there is no automatic right to cancel or change unless the property's rules allow it, and that some properties block changes entirely once a booking is made.
Is it cheaper to book a hotel direct or through a booking site?
Neither is reliably cheaper, which is why chains publish best-rate guarantees rather than lower prices. The published advantage of direct booking is procedural: a 24-hour window to claim a match, plus points and elite-night credit an agency booking will not earn. The agency's advantage is a single support channel and, on some platforms, a rebate.
What happens to my points if I cancel an award night?
It depends on the programme and on whether you cancelled in time. Choice states that points are re-deposited seventy-two hours after a cancellation made in line with the hotel policy, and that a late cancellation earns no credit at all. Agency rewards follow the cash rule: a reward night is returned only where the equivalent paid booking would have been fully refundable.
Does a best rate guarantee still apply if I change my reservation?
No, and all three chains say so. IHG lists modification or cancellation after a claim has been validated as grounds to revoke the benefit, and Hilton states that changing guests, dates, length of stay or room type lets the hotel re-evaluate and cancel an approved price match. Treat a matched rate as locked.
How long do I have to submit a price match claim?
Twenty-four hours from booking at IHG, Hilton and Choice, with extra timing conditions on top. IHG also requires the claim at least twenty-four hours before standard check-in, and Choice requires the booking to be at least forty-eight hours before a 6am arrival. All three require a reservation made through the chain's own channel.
